Privacy and data

Showroom enquiries and repair records are where the personal information held by KJ GOLD LIMITED comes from: a name, a way of reaching you, and a description of the piece in hand. The company is the controller of that information, and this page sets out what is written down, why it is held, how long it stays and how to reach us about it.

I.What is written down

Work taken in at the counter is booked against a written entry: the name of the person leaving the item, a telephone number or email address for getting back in touch, a description of the piece, its weight and any marks it carries, its condition on arrival, the work agreed and the reference it will be collected against.

A purchase is recorded in the sale records in the ordinary way. Where an item is ordered in or held back for someone, the entry carries the same contact details, so that the piece and the person stay connected.

Email brings the other kind of record: the address a message arrives from, the name signed to it, and whatever the message itself sets out.

II.Where it comes from

All of it is given directly: spoken across the counter and written down there, or typed into a message sent to [email protected].

These pages are plain files served to a browser. The record of a visit to them sits with the hosting service that delivers the site, in the ordinary request logs any host keeps.

III.Why it is held

A repair entry exists so that a piece can be identified and handed back to the person who left it, and so that the condition it arrived in is a matter of written record for both sides. Contact details exist so the shop can say that a job is ready, or answer a question about it.

Sale and repair records are also held because a company must be able to produce its trading records for accounting and tax purposes, and because a customer's rights on a purchase rest on the transaction being traceable.

The company relies on the agreement made with the customer for the work itself, on its legitimate interest in running a shop and answering enquiries, and on the legal obligations that require certain records to be kept.

IV.How long it stays

Sale and repair records are held for the statutory retention period that applies to a company's accounting records, and are cleared once it has run.

Enquiry emails stay in the mailbox for as long as the question they raise is open, plus a short tail afterwards so that a later reply still lands with its context, and they are cleared in batches once that has passed. Anything attached to an open matter — a warranty question, a repair still out at a workshop — stays for as long as that matter is open.

V.Who sees it

Inside the shop, the counter book and the sale records are used by the people working the counter.

Outside it, information passes where the work requires: a workshop a repair is sent out to, the company's accountant, the hosting service that serves these pages, and any authority entitled to ask for trading records. Each uses it for that purpose and clears or returns it afterwards.

VI.Access, corrections and contact

You are entitled to be told what is held about you, to receive a copy of it, to have an entry corrected, to have it erased once it has served the purpose it was made for, and to have its use restricted while a question about it is being settled. Quoting the collection reference, or roughly when the enquiry was made, makes the entry quicker to find.

Where a concern about showroom records cannot be settled with us directly, the supervisory body for British data protection law is the Information Commissioner's Office, and a complaint may be put to it.
